Personal data we collect and hold
We collect personal data so we can provide you with our photography and film services and share information about the services we offer. We make sure the personal data we collect from you is necessary for, and directly related to, this purpose.
The type of personal data we collect will vary depending on the circumstances in which we're dealing with you. It may include:
- Personal details such as your name, email address, phone number, and details about your event (date, venue, event type and any relevant preferences);
- Information you voluntarily provide through our enquiry form, by phone, or in email correspondence, including details about your wedding, celebration or corporate event;
- Photographs and video footage captured of you, your guests and your event, which we collect and use to deliver the finished galleries and films you've engaged us for;
- Payment information, where you make a booking or pay a deposit or invoice online.
Payment information: any card or payment details you provide online go directly to our payment processor, we do not have access to or store this data ourselves.
As a general rule, we do not collect sensitive information about you. Where sensitive information is relevant to delivering our services safely (for example, dietary or accessibility needs on the day), we will only collect it with your consent and use it for that purpose.
We collect personal data in a number of ways, including:
- Directly from you, when you submit an enquiry through our website, contact us by phone or email, or provide details during a planning call;
- From your representatives, such as a wedding planner or event coordinator acting on your behalf;
- From other people connected to your event (such as a partner, family member or planner) who provide details on your behalf;
- From our own records of previous dealings with you; or
- When legally required to do so.
We make sure the way we collect data from and about you is lawful and fair in your circumstances, and we take practical steps to explain what information you're asked to provide, and what may happen if you choose not to provide it.
How we use the information you provide

- Identify you and respond to your enquiry;
- Confirm availability, plan and deliver your booking;
- Carry out our obligations under any agreement between us, including capturing, editing and delivering your photography and film;
- Communicate with you before, during and after your event;
- Process payments for deposits, bookings and final invoices;
- Improve the services we offer, based on feedback and past bookings; and
- Provide you with information related to Heritage Studios, where you've opted in to hear from us.
When you opt in to receive communications from us, you consent to us contacting you (depending on your selection) by email or phone, and sharing information about relevant services, news and availability.
If you later decide you no longer want to hear from us, you can withdraw your consent at any time by clicking the unsubscribe link in any promotional email, or by contacting us at hello@heritagestudios.agency. Withdrawing consent won't affect our use of your personal data before you withdrew it, but it does mean we won't be able to contact you about future services.
We will let you know when you must provide personal data for us to perform an agreement with you or comply with a legal obligation. If you don't provide it in those circumstances, we may be unable to confirm or deliver your booking.
Information we collect from third parties
We may use information provided to us by third parties, such as wedding planners, venues or other vendors involved in your event, where they share your details with us to coordinate a booking.
If you don't provide your personal data
If you don't provide the personal data we ask for, or the information provided is incorrect or incomplete, we might not be able to confirm your booking or deliver our services.
Disclosure of personal data to third parties
We do not provide your personal data to any third parties other than as required by law or as set out in this policy. We will not sell, trade or rent your personal data to others.
Every Heritage Studios project is handled entirely in-house by our own team, from enquiry through to final edit and delivery. We don't outsource shooting or editing to external contractors.
We may, however, disclose your personal data for the purposes listed above or as otherwise permitted by law. By using our website or booking our services, you agree to disclosures to the following third parties:
- Payment processors, who collect your payment information if you pay online;
- Gallery and file delivery platforms, used to share your finished photos and films with you;
- Our professional advisers (such as accountants or lawyers), where relevant to running our business; and
- Other persons and entities as permitted under the Privacy Act.
Storage and overseas transfer of your data
If you provide personal data to us, it may be transferred to, processed in, stored at or accessible from a destination outside Australia, including where our gallery delivery and payment platforms host their servers overseas. We take practical steps to ensure all data is treated confidentially, kept secure, protected against unauthorised or accidental access, processing, erasure or other use, and kept no longer than necessary for its intended purpose.

We only store personal data, including photographs and video, for as long as we consider it necessary or beneficial for the purposes set out in this policy, or for regulatory or record-keeping purposes.
